Process audit and digitalization plan.
Technology under our care.

Before you deploy another application, check the workflow. We help you find repetitive activities, delays and places that require data organization, and then choose a realistic automation plan.

Specialist and IT specialist discussing a project at a laptop - Process audit and digitalization plan

A SCOPE TAILORED TO YOUR NEEDS

From analysis to everyday action.

  • Process and exception map
  • Time and error analysis
  • Data quality assessment
  • Selection of integration or RPA
  • Priorities and schedule
  • Pilot plan and effect measurement

We observe the process from beginning to end

We talk to people who perform tasks and make decisions. We collect examples of documents, inputs and exceptions. Activities performed outside the main system, such as in sheets and messages, are also important. The description shows the actual process, rather than being limited to a formal procedure that may not correspond to everyday work.

We measure where the cost arises

Latency, number of revisions, and data repetition help select areas of greatest importance. We compare the scale of the problem with the effort needed to change it. Not every manual step is a mistake - some are for important control. Therefore, we separate unnecessary activities from decisions that should be left to humans.

We choose the method of improvement

The solution may be a simpler procedure, a structured form, integration or an RPA robot. Where data is unstructured, tools to support its reading and classification may be considered. Each proposal takes into account available systems, information quality and needed exception handling. The technology is intended to achieve an agreed goal, not to replace problem analysis.

Stages and responsibilities plan

We translate the audit results into a list of initiatives with dependencies and priorities. We indicate activities that can be started earlier and those that require data preparation or system changes. Each stage should have an owner and an acceptance criterion. Thanks to this, the transformation becomes a series of understandable tasks that can be planned along with the ongoing work of the company.

From recommendation to proven pilot

We can prepare the scope of the first implementation and how to measure the effect. Comparison before and after the change should take into account not only time, but also quality and exceptions. After the pilot, we update the plan for further actions. The company receives a basis for the decision to expand the project, instead of basing it solely on the declared possibility of automation.

FROM NEED TO SOLUTION

What might such a project look like?

The order processing department may waste time checking data in several applications. In the example audit, we track one case from acceptance to implementation. Measuring time and exceptions allows you to determine whether integration, a change in responsibility, or a tidying up of the form is needed first.

TRANSPARENT COOPERATION

You know what we do.
And what will be the next step.

01

We get to know the environment

We collect requirements, dependencies and limitations. We determine the goal and data needed to prepare the scope of work.

02

We implement and check

We prepare a solution according to the agreed plan. Tests confirm that the scenarios needed by users work.

03

We transmit and maintain

We document the findings and results of work. We can plan further administration, support and development of the environment.

Let's prepare a good action plan.

The “Process and Exception Map” scope and the “Time and Error Analysis” area are worth assessing together with your current systems. A common list of dependencies helps indicate needed accesses, contact persons and activities that require prior preparation.

Before starting work, we will determine the purpose of the project and the most important dependencies. A description of current tools and examples of problems will be helpful. Thanks to this, we can better select the scope of work.

ANSWERS BEFORE STARTING WORK

Questions about cooperation.

Is it necessary to describe the process before the audit?

Examples and available procedures are useful, but we can prepare the description together during conversations with participants and analysis of work.

Does every recommendation require a new system?

No. Some of the improvements result from changing the rules, better use of current tools or organizing responsibilities.

What will I get at the end?

The agreed scope may include a process map, problem list, recommendations and milestone plan. We separately determine how to estimate costs and effects.
